Terms & Conditions
Please read this document prior to paying your deposit. By paying your deposit you are confirming you agree to the terms and conditions set out in this document.
Shared Space
Our Christmas Experiences take place in a large, shared space with other groups who have booked enjoying the events, activities, entertainment, food and beverages available. (Unless private hire of the space has been agreed in writing, by Brewtown Management at the point of booking).
Minimum numbers
Bookings are for a minimum of 20 per group. If your group number drops below 20 at any stage after confirmation, you will still be charged a minimum of 20.
Confirmation of Numbers & Final Payment
Once Brewtown has accepted your booking request in writing, a non-refundable deposit of $500 will be required to secure your time and date, this will be invoiced to the contact details on the booking form (deposit amount will be taken off final invoice). Your booking is not confirmed until your deposit is received by Brewtown. Brewtown reserves the right to assign your space to another booking should your deposit not be paid by the due date.
Your booking is for the numbers you specified in your original booking request. You can increase or reduce these numbers by no more than 10 people, subject to availability on your chosen date. Note groups can’t drop below 20 people.
If you need to change your booking by more than 10 people contact us as soon as possible. We will endeavour to accommodate any large increase if your booked date is not sold out.
Approximately 1 month prior to your booking date we will request your final details, including your FINAL number attending. An invoice will be issued based on your response, for the total chargeable amount. Changes will not be permitted after your final invoice has been issued. Failure to complete the final booking details questionnaire by the date requested will result in your being billed for the most recent number of attendees provided to us, and provision of a cash/eftpos bar only.
Full payment of the remaining balance is due 2 weeks prior to your function date. Failure to pay on the due date may result in the forfeiture of your deposit and booking. All payments are non-refundable. Please refer to “cancellations” for further information.
Start and Finish Times
You agree to adhere to the nominated start and finish time for your function as identified in your confirmation.
Food & Beverage
Food is served buffet style for a duration of 3 hours during the event.
Beverages are not included in the package price and are an additional charge. Cash bar, token and bar tab options are available, which must be advised to us in your final booking details required around 1 month prior to your booking date.
On the day – any increase to agreed bar tab limits must be signed for by your nominated authorised person (name to be provided to Brewtown in final booking details questionnaire). A credit card must be made available to be held behind the bar as security for this increase. All bar tabs are payable on the day before the end of the function, unless agreed with Brewtown Management prior to your booking date.
Unused Drink Tokens must be returned to the Event Duty Manager before the end of the event, with the total returned agreed and signed for by yourself and the DM. Refunds will not be given on the day but by bank transfer the following week. Any tokens not returned on the day will not be refunded.
BYO is not permitted. All alcohol purchased on site must remain within the function space.
Under 18s
Alcohol will only be served to persons aged 18 and over. ID checks will be carried out at the bar and anyone without suitable ID will be refused service (NZ Driver’s Licence, Passport, Kiwi Access Card or HANZ 18+ Card).
You must inform us prior to your event date of any under 18s in your party. Under 16s are not permitted at Brewtown Greenspace Christmas Parties.
Responsibilities
The Brewtown Greenspace is a licenced venue and as such has a responsibility to serve alcohol responsibly in line with the Sale and Supply of Alcohol Act 2012.
We expect all attendees to conduct themselves in a legal and safe manner, and the Company or Person booking takes responsibility for the conduct of their guests. You may be charged for any damage that occurs to any Brewtown property.
Brewtown reserves the right to terminate any function or refuse service to any guest deemed intoxicated by Brewtown Staff or Security. Brewtown reserves the right to ask any patron to leave the Brewtown premises.
Acceptance of Booking
Brewtown reserves the right to accept or reject any Christmas Experience booking requests.
Damage or Loss
Brewtown assumes no responsibility for the loss of or damage to any property belonging to the client or their guests.
Your guests participate in any Brewtown activities at their own risk. This includes any activities as part of the Brewtown Christmas Experience or across the further Brewtown site.
Cancellations
All cancellations must be made in writing and confirmed as received by Brewtown.
- Notice of cancellation prior to 1 month from your scheduled function date. 100% of deposit will be retained.
- Notice of cancellation within 1 month of your scheduled function date. 100% of deposit retained and full costs will be chargeable.
- Brewtown reserves the right to move any booking to an alternative date. In these circumstances, if an acceptable alternative date cannot be mutually agreed then the booking will be cancelled, and a full refund will be provided. Refunds will be paid to the account details provided to us by the contact person on the booking form.
